Zoom Calendar Integration Broken
If your Zoom meetings are not appearing in your calendar, calendar events lack Zoom links, or the integration shows as disconnected, the problem is usually an expired authorization, misconfigured settings, or a sync conflict. This guide covers both Google Calendar and Microsoft Outlook integrations.
Step 1: Check Calendar Integration Status
First, verify whether your calendar integration is connected:
- Sign in to zoom.us/signin.
- Go to Profile → scroll down to Calendar and Contacts Integration.
- Check the status:
- Connected: The integration is active. If meetings are still not syncing, skip to Step 4.
- Not configured: The integration has never been set up. Follow Step 2 or 3 to connect.
- Disconnected or Expired: The authorization has lapsed. You need to reconnect.
You can also check from the desktop app:
- Open Zoom and go to Settings → General.
- Look for the Calendar section. If it shows your connected calendar, the integration is active.
Note: Calendar integrations are separate from the Zoom Add-in/Plugin for Outlook or the Zoom for Google Workspace extension. Both the web integration and the add-in/extension should be configured for the best experience.
Step 2: Reconnect Google Calendar to Zoom
If Google Calendar is disconnected or never configured:
- Go to zoom.us/profile → Calendar and Contacts Integration.
- Click Connect to Google or Reconnect.
- Sign in with your Google account and grant the requested permissions.
- Ensure you grant access to Google Calendar when prompted — denying any permission can cause a partial connection.
If reconnection fails:
- Revoke existing Zoom access from Google:
- Go to myaccount.google.com/permissions.
- Find Zoom in the list of apps with access.
- Click Remove Access.
- Return to zoom.us/profile and reconnect from scratch.
For Google Workspace (formerly G Suite) users:
- Your Google Workspace admin may need to whitelist the Zoom app in the admin console: Admin Console → Security → API Controls → Third-party app access.
- If the Zoom app is blocked, you will see an authorization error during connection.
Install the Zoom for Google Workspace add-on for the best integration:
- Open Google Calendar in your browser.
- Click the + icon on the right sidebar to get add-ons.
- Search for Zoom for Google Workspace and install it.
- This adds a Zoom button directly in Google Calendar event creation.
Step 3: Reconnect Microsoft Outlook to Zoom
If Outlook calendar integration is broken:
- Go to zoom.us/profile → Calendar and Contacts Integration.
- Click Connect to Microsoft 365 or Reconnect.
- Sign in with your Microsoft account (work, school, or personal).
- Grant the requested permissions for calendar access.
If reconnection fails:
- Revoke existing Zoom access from Microsoft:
- Go to account.microsoft.com/consent (personal) or your Azure AD admin portal (work).
- Remove the Zoom application.
- Reconnect through the Zoom profile page.
For Microsoft 365 / Exchange organizations:
- Your IT admin may need to approve the Zoom integration in Azure AD → Enterprise Applications.
- If your organization uses Conditional Access policies, Zoom may be blocked from accessing calendar data.
Install the Zoom Outlook Plugin:
- Open Outlook (desktop).
- Go to File → Manage Add-ins or Get Add-ins.
- Search for Zoom for Outlook and install it.
- Once installed, a Zoom button appears in the Outlook calendar ribbon for adding Zoom meetings to events.
For Outlook on the web (OWA):
- Go to Outlook.com or Outlook Web App.
- Click the gear icon → View all Outlook settings → Mail → Customize actions or Get add-ins.
- Install Zoom for Outlook.
Step 4: Fix Missing Zoom Links in Calendar Events
If calendar events are created but do not include a Zoom meeting link:
- When creating a calendar event, ensure you use the Zoom integration to add the meeting — simply typing “Zoom” in the event description does not create a meeting.
- In Google Calendar: Click the Zoom add-on icon in the event editor sidebar, then click Make it a Zoom Meeting.
- In Outlook: Click the Zoom button in the ribbon before saving the event.
- If scheduling from the Zoom app: Go to Schedule → fill in meeting details. The calendar event with the Zoom link will be created automatically if the calendar integration is connected.
Default meeting settings:
- In zoom.us/profile → Settings → Meeting, ensure your default meeting settings (passcode, waiting room, etc.) are configured correctly. Misconfigured defaults can occasionally prevent links from being generated.
Step 5: Troubleshoot Sync Delays and Conflicts
If the integration is connected but meetings sync inconsistently:
- Sync can take up to 15 minutes: Zoom does not push calendar updates instantly. Wait and refresh before assuming the sync is broken.
- Check time zones: Mismatched time zones between Zoom and your calendar can cause meetings to appear at wrong times. Verify your time zone in zoom.us/profile and in your calendar settings.
- Multiple calendar accounts: If you have multiple Google or Microsoft accounts, ensure the correct account is connected. Check which account is linked in the Zoom profile integration section.
- Recurring meetings: Recurring meeting series may need to be re-created if the calendar integration was recently reconnected. Edit the series and remove/re-add the Zoom meeting to refresh the links.
- Conflicting integrations: If you previously used a different calendar service and switched, disconnect the old integration before connecting the new one.
If none of the above resolves the issue, try a full reset:
- Disconnect the calendar integration in zoom.us/profile.
- Revoke Zoom’s access in your Google or Microsoft account settings.
- Clear your browser cache.
- Reconnect the integration from scratch.
- Schedule a test meeting to verify the connection.
